Request or respond to a shift swap

Request a shift exchange with an eligible colleague and follow its progress.

Written by Daniel Ge

Shift swaps are available in the mobile app and mobile employee web view where your location has enabled them. A colleague's agreement moves the request to approval: the roster changes only after automatic approval or an administrator's review.

Choose the right kind of swap

Task-only swaps are a separate option your administrator may enable. Available colleagues and shifts depend on eligibility and roster scope. You cannot swap out an accepted open shift. For swaps on different days, you must be available for the other person's shift.

  • Same day, different shifts: exchange the whole shifts.

  • Different days: exchange shifts on those dates, subject to eligibility.

  • Same day, same shift: a whole-shift exchange does not apply. If task-only swaps are enabled, you may exchange tasks without changing your shift, date or area.

Send a request

  3. Choose an available colleague, then the shift you want in return. Check disabled choices and any availability explanation.

  4. Review both sides of the exchange, including dates, times and tasks.

  5. Select Send.

Discussing a swap with your colleague outside the app does not update the roster. Send the request and wait for its outcome.

Respond to a colleague

  1. Open Shifts > Shift swaps and find the swap marked Action needed.

  2. Open it and compare the shift you would give up with the shift or task you would receive.

  3. Choose Accept or Decline, then confirm.

Declining ends the request. Accepting moves it to the approval stage; it does not always apply the exchange immediately.

Understand approval

Your location's settings determine the next step:

  • If automatic approval is disabled, an administrator reviews the agreed swap.

  • If automatic approval is enabled, only swaps that pass the configured checks can complete automatically. Other swaps need administrator review.

Important rules and staffing demand are part of these checks. Do not bypass them by assuming an informal agreement is sufficient.

Check the request's status and both updated schedules. Until the swap is approved and reflected in the roster, do not assume your original shift has been transferred.

If a colleague or shift is unavailable

Check the location, dates and swap type. Eligibility, existing work and department/sub-roster assignments can restrict the available choices. Ask your administrator to investigate; do not change your details or submit a different swap just to get around the restriction.
