Set up tasks

Written by Isaac Cleland

Describe the duties people perform during a shift using tasks.

A shift defines when someone works; a task describes what they do during that time. For example, Theatre 1 and Admin can be different tasks within an AM shift.

To set up tasks, use a roster where you have configuration access and create the relevant skills and shifts first. The task controls and AI assignment options available to you depend on your plan and configuration.

Create a task

1. Open Tasks in the left sidebar.

2. Use the + add control at the top right of the Tasks page; the adjacent dropdown contains additional add options.

3. Enter a unique name and a description that distinguish the duty from a shift time or skill. Do not reuse a shift, shift-group or on-call duty name.

4. Select the associated skills where the task requires particular competencies.

5. If the AI-specific general staffing-count option is available, decide whether the task should contribute to general staffing counts. Check this against your intended coverage model.

6. Review the resulting shift-task choices wherever you allocate or plan work.

For example, an AM shift and Theatre 1 and Admin tasks produce AM–Theatre 1 and AM–Admin choices. Use these combinations in roster and planning dropdowns rather than creating a separate shift definition for every duty.

Remove a task

On a regular live roster, select the task's checkbox and use Archive when the duty is no longer needed. Archiving retains the task record and turns off automatic assignment.

For archiving and restoring task definitions, including the effects on dependent setup, see Archive and restore roster setup.
