The RosterLab Platform

Welcome to the RosterLab App! In this guide, we will walk you through how our app works when you are just getting started. Let’s dive right in.

Here are some questions you might ask and what each page does in our app:

Employees 

On this page, you can set up a list of employees who are currently working on the roster. Once you have added your employees, you can input their details such as their skills and available shifts after you set them up.

For AI users, you can also set up employees’ access through the table so the staff requests will be considered when generating the rosters.

Skills & Tasks

You can set up all the types of skills and tasks that your staff can work on. Once the skills and tasks are created, they will automatically show up in all the dropdowns where they are needed.

Shift & Shift Group

This page is where the details for the shift types that can be worked are listed. Shift groups are sets of shifts that you may need to describe rules, fixed shift allocations and preferences.

Rules

Our AI-powered natural language rules engine can capture almost any complex scheduling rules, such as hours of work, union restraints, skill mix balancing, and more. You can also apply different rules to individual employees.

Staffing numbers

Staffing numbers are where the demands for staffing number requirements for the roster are entered. You can capture the required headcounts by time windows, shifts, tasks, or skills.

History

In history, the last roster can be entered to ensure a smooth start to every roster.

Fixed Shifts & preferences

Fixed shifts [AI users only] are for shifts and shift groups that must be assigned, such as recurring contracted shifts or annual leave.

Staff preferences can be entered here so the AI can give as much as possible to each employee the shifts that they want. Admin can set the importance of each preference, where AI will optimize the roster around it. Different importance levels indicate to the AI what to prioritize when generating. 

The difference between fixed shifts & preferences is that fixed shifts are guaranteed to be considered when generating the rosters, whereas preferences are optimized by AI based on other requirements and criticality.

Solved schedules are viewed here. Solution analysis graphs are also available for admin users to understand the quality of the roster and make amendments where it’s needed.

My Roster Page

The AI-generated solution can be sent to this page for further manual adjustments. You can also customize the page for more visually clear views on statistics, broken rules, or colour coding.

One special thing that we do is re-roster. This will allow you to select a part of the roster for re-generation with minimum changes while keeping the rest of the roster unchanged.
