Set up your staffing coverage

How to set my staffing requirements on a daily level?

Overview

In the staffing numbers table, you can specify the number of staff needed for the entire roster, divided by shifts, combinations of shifts, skills, or tasks. By default, it is set to weekly recurring to maintain consistent staffing coverage every week. However, you can change it to fortnightly recurring or for the entire roster as well.

Each demand (row) represents the minimum, maximum, or ideal number (target) of staff required during a specific period, with additional options for restrictions.

Add Demand(s)

Demand(s) can be added in one of two ways.

  1. Click Add Demand
  2. Fill in the details for your new demand

or

  1. Click the dropdown menu and select Add Multiple demand(s)
  2. Fill in the details for your new demand(s)

Delete Demand(s)

Be careful as deleting a demand is not un-doable.

  1. Select the demand(s) you want to delete by ticking the checkboxes
  2. Click the delete button in the action bar

Duplicate Demand(s)

It's often necessary to have both a minimum and a maximum number of staff for a particular demand. For example, you may require at least three people for a morning shift with a clinic task, but no more than four.

If you have just made a minimum demand, simply:

  1. Tick the checkbox and click duplicate
  2. Change type from minimum to maximum, and change staffing numbers if it’s necessary

Demand Properties

Each row has the following properties:

Start Time – This is when the demand begins.

End Time – This is when the demand ends. A demand that crosses over midnight is considered to end at the end time on the next day.

Shifts(Optional) These are shift(s) that can fulfil this demand. If this field is left empty then any valid shift that covers the demand period is considered able to fulfil this demand.

Skills – (Optional) These are the skill(s) that are able to fulfil this demand. If this field is left empty, then every employee is able to cover this demand providing they work a shift that covers the demand period.

Tasks – (Optional) These are the task(s) that are able to fulfil this demand.

Type – This denotes if the demand is for a minimum, maximum or target (ideal) number of staff. The number required is entered against the day.

Importance – This denotes the importance of the demand. The four importance levels are low, medium, high and critical.

Days – This is the number required by the demand for the corresponding roster day.
